• Provide architectural and interior design information including design narrative, specification, calculations and drawings production;

• Business Document Processing: Provide comprehensive backend support to the Project Executives following initial client consultations. Accurately prepare and track essential commercial documents, including Quotations, Purchase Orders (PO), and Delivery Notes.

• Bilingual Correspondence: Assist the team in handling and following up on daily English email communications with our corporate clients, addressing order progress, document confirmations, and basic inquiries.

• Data & File Management: Maintain and systematically organize client profiles, project contracts, and physical sample records to ensure all business data is easily accessible and operations run efficiently.

• Internal Workflow Coordination: Liaise seamlessly with the procurement, finance, and logistics departments to verify data and streamline document flow, ensuring a flawless process from order confirmation to final delivery.

The Role & Responsibilities

• Supplier Sourcing & Negotiation: Source, evaluate, and select suitable manufacturers based on the customized needs of our high-end clients in Macau (covering premium gifts, hotel amenities, packaging materials, etc.). Conduct RFQs, price comparisons, and deep business negotiations to optimize procurement costs.

• Production Tracking: Manage the end-to-end supply chain process after order placement. Liaise closely with factories to monitor raw material sourcing, prototyping, production scheduling, mass production, and packaging, ensuring all orders are completed on time and up to standard.

• Quality Control (QC): Establish and enforce strict product inspection standards. Conduct on-site factory inspections and random sampling as project needs dictate, promptly coordinating and resolving any quality abnormalities during the production process.

• Logistics & Delivery Coordination: Coordinate factory shipments, cross-border customs clearance, and logistics transportation to ensure safe, compliant, and timely delivery of products to our clients in Macau.

What We Are Looking For (Requirements)

• Experience: Diploma or above, with 2+ years of professional procurement or merchandising experience in custom gifts, hotel amenities, printing/packaging, or related physical manufacturing industries.

• Professional Skills: Deep understanding of the domestic supply chain market and factory production workflows. Possess excellent cost calculation abilities, strong negotiation skills, and a keen sense of quality control.

• Language Proficiency: Good command of written and spoken English and Chinese. Capable of handling daily business emails, quotations, and procurement contracts fluently.

• Personal Attributes: Detail-oriented, highly responsible, and resilient under pressure. Demonstrated ability to collaborate cross-functionally (working closely with our internal design and project teams) and willingness to travel occasionally for factory visits.
